Policy Rationale 

Vermont State University (VTSU) is committed to tracking student degree completion to support student success and ensure accurate records. This policy and procedure ensure that students are aware of any outstanding degree requirements  they need to complete in advance of their anticipated graduation.  

Policy 

Matriculated students  are responsible for tracking and completing their degree requirements and reporting any discrepancies to the Registrar’s Office. One year prior to anticipated graduation, students are required to submit a Graduation Application for their matriculated degree or degrees including relevant specific major(s), minor(s) and/or concentration(s) of their catalog year.  

Graduation Application due dates are the first of the month in the year prior to the intended graduation. For example, if a student intends to graduate in May, they must submit their Graduation Application on May 1st of the preceding year.

Procedures 

  1. Students complete a Graduation Application by the first of the month, one year prior to their anticipated month of graduation. 
  2. To assist students and their advisors, the Registrar’s Office will complete a degree audit for each matriculated student after they submit a Graduation Application.  
  3. The Registrar’s Office will communicate to students any unmet degree requirements, based that Graduation Application only, and any changes to the declared degree program(s) may result in a delayed graduation date. 
  4. After an audit confirms that students have either completed or registered for courses to fulfill all degree requirements, their names are added to the graduation list.

Responsibilities 

Students:   

  • Track progress towards meeting all requirements of their intended degree(s), minor(s), concentration(s) through Self Service located on the university portal. 
  • Confer with an advisor at least once per semester to ensure progress toward degree completion. 
  • Address any concerns raised by the degree audit with their advisor(s) and/or the Registrar’s Office. 

Advisors

  • Assist students with planning to meet the requirements of their intended degree. 

Registrar

  • Perform degree audits. 
  • Communicate any unmet graduation requirements to students after Graduation Applications have been submitted. 
  • Approve students for awarding of degrees.
